Simple methodAnnual software spend = monthly subscription cost × 12. Estimated unused-seat spend applies the inactive-seat percentage to monthly cost as a planning approximation. A review score then combines seat underuse, low usage frequency, low business criticality and functional overlap. Estimated savings are conservative: excess-seat value plus a limited additional portion for low-use/high-overlap subscriptions.

Advanced methodAnnual cost = (monthly base fee + per-seat fee × paid seats) × 12. Rightsized seats = active users plus the selected buffer, capped at current paid seats. Unused-seat savings use the actual per-seat rate. Review score combines unused-seat ratio, low usage, low criticality and overlap, then renewal timing raises urgency for subscriptions renewing inside the review horizon. Switching cost and contract lock temper cancellation/consolidation recommendations but do not erase the underlying savings opportunity.
