Actual statement & target
Simple methodExpected fees = gross sales × entered percentage rate + transaction charges + refund/chargeback fees + fixed monthly charges. The actual effective rate uses the actual statement fee total divided by gross card sales. The audit variance is actual statement fees minus modeled expected fees. Negotiation savings compare the current modeled fee structure with the entered negotiated percentage and per-transaction fees.

Advanced methodEach channel calculates percentage fees, transaction fees, refund fees and chargeback fees separately. Statement-level fixed fees are added once. The actual statement total is compared with the detailed modeled total to surface unexplained variance. Negotiation savings reduce percentage rates, per-transaction charges and fixed fees by the entered target percentages.

Scope
This is a financial statement-audit model
Merchant statements can include interchange, assessments, processor markup, authorization charges, gateway fees, PCI/compliance fees, chargeback fees, monthly minimums, cross-border charges and other items. This tool does not determine whether a fee is contractually valid or whether a particular interchange category should apply. Use the actual processor agreement and statement detail when investigating a variance.
