Simple methodAnnual contract cost = base fee × 12 + per-seat fee × seats × 12 + other annual fees. Rightsized seats = active users plus the entered buffer. The negotiated model applies the entered discount to base and seat subscription charges, keeps other annual fees unchanged, and applies the negotiated escalation cap in later years. The one-time credit reduces Year 1 cost only.

Advanced methodAccept uses the quoted seat count and quoted escalator. Negotiate rightsizes seats to active users plus the entered buffer, subject to the vendor minimum, then applies the negotiated subscription discount and escalation cap. Switch uses the same active-user buffer subject to the alternative vendor minimum, then adds implementation, disruption and parallel-run costs. Multi-year totals are undiscounted contract cash costs for direct negotiation comparison.
